What is Vahetus?
A cloud time tracking service for companies that work with freelancers. Freelancers clock in online, account managers review and the company receives tamper-evident reports, ready for invoicing.
Do I need to install anything?
No. Vahetus works in the browser on computers and phones.
Which languages are available?
Spanish, Portuguese, English, Estonian and German. Each person chooses their own.
Does it work offline?
No, on purpose. A periodic signal keeps the shift active and, if the connection drops, the shift closes on its own and is marked as interrupted. That way nobody can reconstruct hours afterwards.
Can a freelancer work on several projects?
Yes. They can have several projects assigned and, by default, one active shift at a time. The Super Admin can allow simultaneous projects for a specific freelancer.
Pricing and contracts
How much does it cost?
It depends on the number of active freelancers: there are three plans. Starter and Team have published prices and Business, for more than 50 freelancers, is priced on request. See the details on the pricing page.
What counts as an active freelancer?
A freelancer with access to Vahetus who logs hours during the month. Your proposal explains how this applies to your case.
Do prices include VAT?
No. VAT and any other applicable taxes are added in accordance with the law in force.
How do we sign up?
Through a personalised proposal. Once accepted, the agreement consists of the proposal, the terms and conditions, the acceptable use policy and the data processing agreement.
How do we get started?
We set up your Super Admin account and from there you add projects, account managers and freelancers.
Data and security
Who is responsible for the data?
Your company is the controller of the data it enters into Vahetus and Humanos Tech acts as processor, under Article 28 of the GDPR.
Can hours be changed afterwards?
Not directly. Corrections are requested as adjustments and, if approved, stored as a new record. The original is kept and the report marks it.
Does Vahetus monitor computer activity?
No. It does not use location, does not take screenshots and does not log keystrokes or the applications people use.
What happens to the data when the contract ends?
You can export your reports within the agreed period. After that, the data is deleted or anonymised, except data that must be kept by law.
Freelancers
Does using Vahetus create an employment relationship?
Not in itself. Vahetus is a time tracking tool. The relationship between the company and each freelancer is governed by their agreement, which is worth reviewing with a legal adviser.
Can I appeal a flag on my hours?
Yes. You receive the reason and have 14 days to appeal with your own account and evidence. The Super Admin makes the final decision and, if the appeal is accepted, the hours count again.
Can I delete my account?
Yes. You can request deletion from the application. Your personal data is anonymised in line with legal retention periods.
